Should You Rent or Buy a Forklift? How to Decide for Your Operation

When an operation needs to move more material, sooner or later the question comes up: should you rent or buy a forklift? There’s no single answer. The best option depends on how long you’ll use the equipment, how you handle maintenance, and how much your operation changes. In this guide, we share the criteria we use with our clients to make this decision.

1. How Long You Need the Equipment

This is the first filter. If you need the truck for a project, a peak season, or while your own unit is being repaired, renting is usually the natural choice. On the other hand, if the forklift will work every day for years, buying starts to make more sense.

Usage intensity matters too. A truck used a few hours a week is very different from one running three shifts.

2. Who Handles Maintenance

When you buy a forklift, your company takes on preventive maintenance, repairs, and parts. That takes people, time, and a reliable service provider.

When you rent, the provider typically keeps the equipment in working condition. That is why many companies without their own service shop prefer to rent.

3. How Much Your Operation Changes

If your production volume rises and falls during the year, or you change customers or processes often, flexibility is worth a lot. Renting lets you grow or shrink your fleet, or switch to a different truck type, such as a reach truck or an order picker, as your needs change.

If your operation is stable and predictable, an owned truck can fit your process well.

4. How You Want to Use Your Capital

Buying a forklift requires a significant upfront investment. Renting turns that cost into regular payments and frees up capital for other parts of the business.

The accounting and tax treatment of each option is different, so review it with your accountant before deciding.

When Renting Makes Sense

  • You need equipment for a peak season, a project, or a defined period.
  • You don’t have a service shop or technicians to maintain it.
  • Your operation changes often and you need flexibility.
  • You want to try a truck type before investing in it.
  • You need to replace an owned truck while it’s being repaired.

When Buying Makes Sense

  • The truck will run continuously for several years.
  • Your operation is stable and you know exactly what equipment you need.
  • You have in-house maintenance or a reliable service provider.
  • You prefer to own the equipment as a company asset.

If you’re leaning toward buying, a reconditioned used forklift can lower your investment. Read our 5 factors to check before buying a used forklift.

A Middle Ground: Owned Fleet Plus Rentals

Many companies combine both options. They keep owned trucks for their base operation and rent extra units to cover production peaks or special projects. That way, they avoid having idle equipment during slow months.
